Royalty Tracking

Track what everyone has earned and been paid, then draft, pay and record payouts.

Overview

Royalty Tracking is the second tab on the OneClick page (Tools → OneClick → Royalty Tracking). Every OneClick run on a royalty statement records what each person earned, per project and statement period, and tracks what's been paid and what's still owed. You draft payouts here, pay them, and keep a receipt for each one.

Overview

What's owed right now, what's drafted, and what's been paid to date, with a Draft payouts button.

Payouts

Your payouts, split into Drafts and Completed. Open any one for its full breakdown.

Parties

Everyone you pay, filtered by Unpaid, Draft, Settled or Overpaid, with search.

Periods

Earnings per person per statement period, so you can see every figure over time.

Getting data in

There's nothing extra to do. Run OneClick on a statement from the Calculate tab and Royalty Tracking fills in automatically. Set the statement's currency on OneClick's statement card so amounts are labelled correctly from the start.

A corrected statement
If you calculate a statement that covers the same songs and period as an earlier one, OneClick asks whether it's an updated version. Replace old numbers swaps in the new figures and keeps your payment history. Keep both treats it as new earnings.
Same person, two names
When two names look alike, the Parties tab asks Same person? Choose Same person to merge them so their payouts aren't split or doubled, or Different people to keep them apart.

Currencies

Payouts can be made in the accepted currencies: USD, GBP, EUR, CAD, AUD. Amounts for a person show in their payout currency. Overview and Periods add everyone up, so they show totals in one currency: use the Totals in label to pick it. That changes what you see, not what anyone is owed. Rates are the Bank of Canada's official daily rates.

Each person also has a payout currency. Every payout row shows its currency as a flag: on a draft, click it to pay that person in another accepted currency. Their drafts are rebuilt at today's rate and their future payouts use the new currency too. You can also change it in their drawer.

Today's exchange rates

Rates come from the Bank of Canada, which publishes official mid-market rates every business day. Remediio checks once a day and keeps the result, so switching currencies doesn't wait on the bank. A conversion between two currencies other than the Canadian dollar goes through it. On weekends and holidays the last published rate is used. A draft uses the rate from the day it was made, and a paid payout never changes.

Loading today's rates…

Open a paid payout's Receipt to see the PDF, download it, save it to a project, or email it to the person's saved address.

A person's drawer

Click anyone in Parties or Overview to open their drawer. It shows:

Earned, Paid, Outstanding

Their totals, plus each song, role and split they earn from.

Payouts

Recent receipts and All payouts, drafts included.

Payout currency

Changing the Payout currency asks first, then rebuilds their draft payouts in the new currency from what they're owed now, at today's rate, so a draft's amount can change. Future drafts use it too. Payouts already paid don't change.

Payment email

The address used for PayPal payouts and emailed receipts.

Creating a payout

1

Start a payout

Press Draft payouts on Overview, tick people on the Unpaid tab and press Pay selected, use the button in someone's drawer, or press Pay Royalties on a OneClick result.
2

Choose who and how much

In New payout, tick each person and their outstanding balance appears. Use Pay less to pay part of it: the oldest statements are paid first and the rest stays unpaid. Add an optional note.
3

Draft

Press Draft payouts. Each person gets their own draft with a full breakdown: what each statement earned, the split that was applied, and the amount in their payout currency.
4

Pay

On the draft, Pay now offers PayPal (you approve it in your own PayPal account) or Interac e-Transfer (Canadian dollar payouts only: it shows what to send from your bank, then records it). Paid some other way? Use the ⋯ menu and Mark as paid. Cancel payout discards the draft and puts the balance back to unpaid.
Undo a payment you marked by mistake
After Mark as paid, a Marked as paid notice appears with Undo. Later, a payment you recorded yourself (marked as paid, or Interac) can go back with ⋯ → Revert to draft. PayPal payouts can't be reverted: the money has already moved.
Receipts
Every paid payout has a Receipt. After a PayPal or Interac payment, the person is emailed a receipt showing how the amount was worked out, if they have an email on file. Remediio never holds the money.
Out-of-date drafts
If a later calculation changes the earnings a draft was based on, the draft is marked out of date. Press Remove and create a new payout from Parties.

Clearing royalty entries

To start a project's royalty figures over, the project owner goes to the project's Settings tab and presses Clear royalty entries in the Royalty tracking card. This removes the project's royalty entries and saved OneClick results, so the next run works them out again from scratch. It can't be undone.

Payouts are kept
Payouts already issued for the project are kept but may no longer match any entries. Cancel any drafts you don't want before clearing.
